Clone Session + Courses
At the start of each new term or year, most of your courses are the same as last time: same levels, same class days and times, same teachers, same prices. Rather than recreating each course by hand, Clone Session + Courses creates a new session and copies the courses you choose into it, with every date shifted to fit the new session.
Where to find it
- Go to Courses > Configuration > Sessions.
- Find the session you want to copy from (for example, last year's Term 1).
- Click the actions menu on the right of the session and choose Clone Session + Courses.
Step 1: Set up the new session
The form opens pre-filled one year ahead of the session you are cloning. Check each field and adjust as needed:
- Year - The reference year of the new session. Pre-filled as the original year plus one. Changing the year automatically moves the Session Dates below to the same year.
- Session Name - Pre-filled with the original name, with any year in the name updated (for example, "Term 1 2026" becomes "Term 1 2027").
- Session Dates - The start and end of the new session. Pre-filled exactly 52 weeks after the original dates, so the new session starts on the same day of the week. These dates control how every course is rescheduled, so set them carefully.
- Age Group - Pre-filled from the original session. Change it if the new session is for a different age group.
The session name and year must be unique. If a session with the same name already exists for that year, you will be asked to choose a different name.
Step 2: Review the Clone Summary
Below the form, the Clone Summary panel gives you an automatically generated overview of what the clone will produce: the new date range, age group, number of courses by type, and the days of the week classes fall on.
It also lists Flags for review. These highlight things worth checking before you clone, such as:
- Public holidays in your country that fall within the new session dates
- Holidays or closures you have recorded in your Timetable
- Classes scheduled on weekends
- Courses that have no schedule
- Courses with no course type set
The summary refreshes automatically whenever you change the year, name or dates. It is generated for you as a guide only, so always review the details yourself before cloning.
Step 3: Choose the courses to clone
All courses in the original session are listed and selected by default. Each row shows the course code and title, type, age group and levels, class days and dates, and price.
- Click a row or its checkbox to include or exclude a course.
- Use the checkbox in the table header to select or deselect every course at once.
- Use the Search courses box to filter the list. Select all only applies to the courses currently shown, which makes it easy to clone just the "Beginner" courses, for example.
The button at the bottom shows how many courses will be cloned. Click What's copied? above the list for a quick reminder of what each cloned course includes.
Step 4: Clone
Click Clone Courses. The new session is created immediately and the courses are copied in the background, with a progress bar and a running log. You can leave the page and the clone keeps running. While it is in progress, the session appears in the Sessions list with a "cloning" indicator, and only one clone can run per session at a time.
When it finishes you will see a summary of how many courses were cloned, any that could not be cloned, and any course codes that need renaming (see below).

How the dates are shifted
Cloned courses are not simply given the new session's start and end dates. Instead, every course, schedule and unit is moved forward by the gap between the original session start date and the new session start date, rounded to whole weeks. Class times are not changed.
This has two useful effects:
- Classes stay on the same day of the week. A Tuesday 6pm class in the original session is a Tuesday 6pm class in the new one, and the individual class dates are generated on those days within the new session's date range.
- Courses keep their position within the session. A course that started in the third week of the original session starts in the third week of the new one.
For example, cloning a session that started on Monday 2 February 2026 to one starting Monday 1 February 2027 shifts everything forward by 52 weeks. A course that ran Wednesdays from 4 February to 25 March 2026 becomes Wednesdays from 3 February to 24 March 2027.
If the new session dates are the same as the original but the year is different, the shift is based on the year difference instead.
Tip: Because the shift is a fixed number of weeks, a class date can land on a public holiday that did not exist in the original session. Check the Flags for review in the Clone Summary, and review the units of the cloned courses afterwards.
Course codes
Each cloned course keeps its original course code with the year updated. For example, a code of S2026-A1-TUE cloned into a 2027 session becomes S2027-A1-TUE.
Course codes must be unique. If a code cannot be updated automatically (for example, the code does not contain the year, or the updated code is already in use), the cloned course keeps a (clone) suffix on its code. The completion summary lists these codes so you can rename them from the course's edit page.
Making the new session visible
The new session is created hidden from the public website, so none of its courses appear in the Course Selector until you are ready. This gives you time to review the cloned courses, adjust prices, teachers or dates, and rename any course codes.
When you are ready to open enrolments:
- Go to Courses > Configuration > Sessions and edit the new session.
- Under Course Selector Visibility, tick Visible.
- Optionally set a From and To date to show the session on the website only during that period.
- Save.
Frequently asked questions
Can I clone only some of the courses?
Yes. Untick the courses you do not want, or use the search box to filter and select only the courses you need.
Can I clone into the same year?
Yes. Enter the same year and set the new session dates. Courses are shifted by the number of weeks between the two start dates. Course codes may keep a (clone) suffix in this case, since the year in the code cannot be updated.
Will students from the original session be enrolled in the new courses?
No. Cloned courses start with no enrolments or waiting lists, and with their full capacity available.
Can I run the clone twice?
Only one clone can run per source session at a time. Once it has finished you can clone the same session again into another new session, for example to create Term 2 from Term 1.
What if I made a mistake?
Deleting a session does not delete its courses, so review the cloned courses in the new session and delete or edit the individual courses as
needed in the course list page.
